A workspace is more useful once your team is in it. Invite people, give each a role, and everyone can work on the same agents, files, and tasks 👥
Inviting members needs a subscription Pro and up. Each plan sets how many members a workspace can hold:
Free: none, so the workspace stays just you
Pro: 25 members
Max: unlimited
Pending invitations count toward the limit, so a declined or expired invite frees a slot again.
Every member has one role, and each builds on the one before it:
Viewer: reads everything in the workspace but changes nothing
Editor: everything a viewer can do, plus create, edit, and delete resources like agents, files, and tasks
Admin: everything an editor can do, plus invite and remove members and change workspace settings
Owner: full control, including billing and deleting the workspace. Each workspace has exactly one owner.
Workspaces are members-only. There is no public or link setting for a whole workspace: people get in only when you invite them.
Open the workspace dashboard and go to Members & Access
Click Invite and search by name or username
Pick the person, choose a role, and send
You invite people by their idapt username, not their email, so the person needs an idapt account first. Ask them to sign up, then search for their username. Invitations expire after 7 days.
Change a member's role from Members & Access: open the member and pick a new role.
An admin can switch a member between editor and viewer. Everything else, promoting or demoting an admin and removing one, is the owner's alone.
Start new members as viewers, then promote them to editor once they know their way around.
To revoke access, open Members & Access, find the person, and remove them. Their work stays in the workspace; only their access ends. Admins can remove editors and viewers, and only the owner can remove an admin.
Any member can leave a workspace from the same place. The owner is the exception: a workspace always has exactly one owner, so to give one up the owner deletes it.
Everyone's work in the workspace is billed to the team that owns it, whoever ran it, so members do not need paid plans of their own. The owner can cap what the workspace spends each month. See Who pays for a workspace.
